
Booking Terms & Conditions

These Terms & Conditions (“Terms”) govern the relationship between you (“you,” “your,” “Traveler,” “Client”) and Civilized Travel, LLC (“Civilized Travel,” “we,” “us,” “our”) for all travel planning, advisory, booking, and related services. By requesting, confirming, or paying for services with us, you agree to these Terms.
1. Our Role & Scope of Services
Civilized Travel acts as a travel advisor / agent and intermediary between you and third-party suppliers (airlines, hotels, cruises, tours, car rentals, ground operators, etc.).
We do not own or operate the travel services; we merely assist you in arranging them.
All bookings are subject to the terms, conditions, and liability rules of those third-party suppliers.
2. Service & Planning Fees
Civilized Travel may charge consultation, planning, research, or concierge fees in addition to supplier costs.
These fees are disclosed in advance and are non-refundable, even if you cancel, change, or book travel elsewhere.
3. Booking, Quotes & Payments
All quotes we provide are subject to availability and can change until a reservation is confirmed by the supplier.
To confirm services, a deposit (or full payment) is required by the deadline we specify.
Final payment must be made by the due date; failure to pay may result in cancellation, with applicable fees.
Any planning or advisory fees we charge are non-refundable unless otherwise stated.
We collect payments on behalf of suppliers; we remit funds to them but are not responsible for their solvency or performance.
4. Changes & Cancellations
Any change or cancellation requests by you are subject to the supplier’s terms, including any fees or penalties.
We will assist in processing changes, but cannot guarantee that suppliers will accept them or provide full refunds.
Our own service fees and commissions are non-refundable in the event of a cancellation.
If a supplier defaults or cancels (for reasons outside your control), we will assist in seeking alternative arrangements or refunds, but we cannot guarantee a full recovery.
5. Your Responsibilities
You must provide accurate, complete, and timely information (names, dates, contact info, passport details, special requests, etc.).
You are responsible for obtaining valid passports, visas, vaccination certificates, or other entry/exit requirements.
Travel health and safety (vaccinations, medical condition, fitness) is your responsibility; consult your physician.
You must comply with laws, rules, and regulations at all destinations and suppliers’ policies.
You accept inherent risks of travel (weather, delays, health, political risks, etc.).
6. Travel Insurance
We strongly recommend you purchase comprehensive travel insurance covering trip cancellation, interruption, medical emergencies, evacuation, baggage, and supplier default.
We may offer insurance options; if you decline coverage, you do so at your own risk.
7. Itineraries & Documentation
Review your itinerary (flights, hotels, transfers, tours) promptly. If you spot errors, notify us immediately.
The names on travel documents must exactly match official IDs.
Civilized Travel is not responsible for losses due to traveler errors (misspelled name, missed connections, improper documents, etc.).
8. Force Majeure
Civilized Travel is not responsible for any failure or delay in performance due to causes beyond our reasonable control, including but not limited to: acts of God, natural disasters, weather conditions, labor disputes, strikes, pandemics, epidemics, war, terrorism, political instability, government actions, or supplier defaults. No refunds or compensation will be provided in such circumstances.
9. Limitation of Liability & Assumption of Risk
Civilized Travel is not liable for acts, omissions, defaults, or changes of any supplier, or for delays, cancellations, losses, injuries, or damages arising from events beyond our control.
By booking with us, you expressly assume all risks associated with travel, whether expected or unexpected.
You agree to release and hold harmless Civilized Travel, its owners, employees, and independent contractors from any claims, damages, or losses, except where directly caused by Civilized Travel’s gross negligence.
Our maximum liability to you is limited to the amount of fees you have paid to us.
10. Third-Party Links & Content
Our website and materials may contain links to third-party websites or content provided by suppliers. These are provided for your convenience only. Civilized Travel does not control, endorse, or guarantee third-party sites or content and is not responsible for any loss or damages arising from their use.
11. Complaints & Dispute Resolution
Any complaints or claims must be submitted in writing to Civilized Travel within 30 days of the event.
We will make reasonable efforts to assist in resolving disputes with suppliers.
These Terms are governed by the laws of [Your State / Jurisdiction]. Any legal action must be brought in the courts of that jurisdiction.
12. Privacy & Data Usage
We collect personal data in order to arrange your travel. We may share necessary information with suppliers to fulfill bookings.
We do not sell your personal information to unrelated third parties.

13. Updates to Terms
Civilized Travel reserves the right to update or modify these Terms at any time without prior notice. The most current version will always be posted on our website. Continued use of our services after changes constitutes acceptance of the updated Terms.
14. Acknowledgment & Acceptance
By engaging us for travel services (through inquiry, booking, payment, or travel), you acknowledge you have read, understood, and agree to these Terms on behalf of yourself and your travel party.
You agree that these Terms constitute the full agreement between you and Civilized Travel concerning the services provided.
